Our team checks their documents before you ever see them. You accept the caregivers you want and hire them as your own employees. Carelii is not a staffing agency: you stay the employer.

Your open cases come straight from the AMS or EMR you already use. For onboarding, we work with the applicant tracking system (ATS) you use, like Bolt or Arla: we can send each caregiver you accept your own application link, and download their documents in the format your ATS takes. Using a different system? Tell us and we'll find the simplest way to connect. Our goal is simple: no manual work on your side.

Yes. We connect to your AMS or EMR through its API and sync your open cases automatically. To connect, your agency needs its own API key. Don't have one yet? Your AMS or EMR provider can issue it, and we're happy to help you request it. Just ask.

Yes. Send us the referrals you'd like to staff that aren't in your AMS or EMR yet, and we'll add them to Carelii as cases. Caregivers see them and apply, so you can line up a caregiver for a new referral before it's even in your system.

Their certification (HHA or PCA), languages, which documents they have on file, and the cases they applied to. Their name, phone, email and the documents themselves unlock the moment you accept.

Our team reviews every document before a caregiver reaches you: certificate, ID, Social Security card and medicals (drug screen, TB, MMR and physical). We check each one is complete and current. As the employer, your agency still runs its own checks: credentials with the issuing authority, the background check, and I-9 or E-Verify.

Not through Carelii. Caregivers aren't exclusive to any one agency, and many work with more than one to fill their week, but we never send a caregiver to more than one agency at a time. A caregiver we send you for hiring goes only to you until they finish onboarding with your agency. After that, your open cases show first in their app, marked Instant Shift.

Let us know, in the notes on their profile or however you usually reach us. We'll reach out to them for you. If they still can't be reached, the acceptance fee is refunded in full.

If you find a caregiver you accepted isn't legally eligible to work (for example an OIG exclusion or a background check issue), let us know and we refund the fee in full.

Once a caregiver finishes onboarding with you, they're active with your agency on Carelii. Whenever they look for more work, your open cases show first in their app with an Instant Shift badge, and they can apply straight away with no new onboarding.

Tell us and we'll activate them with your agency, free of charge. There's no fee for a caregiver who's already yours. Once they're active, they get Instant Shift: whenever they look for more hours, your open cases show first in their app.

You can decline them on Carelii at no cost. Keep in mind two things: once declined, they can apply to other agencies through Carelii right away. And they won't be linked to your agency on Carelii, so even after they start working for you, they won't get Instant Shift access to your open cases.

No. Carelii does not store HIPAA data. Every case is anonymized before it reaches Carelii: no patient name, street address, Social Security number, phone number or date of birth is ever stored, and not even the patient's exact age. A case only shows the general area (city and ZIP code) and the care details a caregiver needs to decide if it fits.

No. Carelii doesn't access or need your current caregivers or their records. The platform only covers the caregivers you hire through Carelii. If one of your caregivers is already on Carelii, you can choose to have us activate them with your agency for free, but that's always up to you.

Only what they need to decide if a case fits them: the area (city and ZIP code), the start date, the pay, whether it's permanent or temporary, the shift type and weekly schedule, the language, and the care basics: the patient's gender, an age range (like 70 to 79), mobility (for example Hoyer lift or bed-bound) and the home environment (pets or smoking). Plus the case's requirements, like HHA or PCA. Never the patient's name, address or contact details.

Yes. Caregiver documents are stored privately and only shown to agencies a caregiver has been sent to, and contact details stay locked until you accept. Your agency owns its data. If protected health information may be shared, we sign a Business Associate Agreement (BAA) with you, and we never train AI on HIPAA-regulated data.

Yes. Your agency owns its data, including your case data and your caregivers' documents. You can download any caregiver's documents at any time, all at once. If you leave, tell us what you need, from caregiver documents to your case data, and we'll help you take it with you.

Less than 24 hours, and most of it is on us. We sign a simple agreement, then hold one call with whoever runs your onboarding to learn your requirements. We connect your open cases from your EMR or AMS using your agency's API key, set up logins for your team, and add your application link. From there, caregivers start applying to your cases.

Yes, and they don't have to. We built Carelii to fit how your team already works. Recruiting and onboarding can be run by just one person. For coordination and your active caregivers, coordinators can use Carelii with their own login, or simply get email alerts without ever logging in. Your team already juggles enough systems, so Carelii doesn't ask them to learn another one.

Yes, and it's often where it helps most. You don't need a recruiting team or a job-board budget: caregivers find your cases on their own. There's no monthly fee and no minimum, so you only pay for the caregivers you hire, and it grows with you.
